Privacy Policy

Last updated August 5, 2026. What we collect, why we collect it, and what we do with it — in plain English.

This policy explains how The Holistic Canine, LLC (“The Holistic Canine,” “we,” or “us”) handles information at theholisticcanine.us. We are a small nutrition practice, not a data business: we do not sell your personal information, and we never share your intake forms, veterinary records, or health details with anyone for advertising. We do use ordinary website measurement and marketing technologies to understand how the site is found and used — those are described in section 2.

1. What we collect

When you buy something. Checkout happens inside Stripe. Your card number is entered directly into Stripe and never reaches our servers — we never see or store it. After a successful purchase, Stripe passes us your name, email address, the amount, and what you bought, so we can deliver it.

When you complete an intake form.This is the most detailed information we hold, and it is the information we actually need to formulate safely. It includes details about your animal — name, breed, sex, age, weight, whether they are spayed or neutered, current diet and brands, treats, feeding times, activity level, allergies, medications, supplements, diagnosed health conditions, your goals, and any notes you add. It also includes your veterinarian’s name, phone number, and email address.

Files you upload.If you send veterinary records, blood panels, urinalysis, or imaging reports through the client portal, we store those files. Please upload only what is relevant to your animal’s nutrition.

When you book a consultation. Scheduling runs through Cal.com, embedded on our booking page. The name, email, phone number, and time you enter there are collected by Cal.com under their own privacy policy.

When you sign in to the portal. We collect your email address to send you a sign-in link. There are no passwords.

Automatically. Our hosting provider, Vercel, records standard server logs for every request — including IP address, browser type, and the page requested. This is ordinary infrastructure logging used to keep the site running and secure.

Through measurement and marketing technologies. We use, or may use, cookies and similar technologies — including tags, pixels, software development kits, and device or browser identifiers — to measure how the site performs and how people find it. Information collected this way typically includes your IP address, approximate location derived from it, device and browser type, the pages you view and how long you spend on them, the link or advertisement that brought you here, and whether you completed an action such as a purchase or an enquiry. It is used in aggregate to understand site performance, not to build a profile of you as an individual, and it is never combined with your intake form or your animal’s health records.

2. Cookies

Cookies are small files a site stores on your device. We use, or may use, three kinds:

  • Strictly necessary. The session cookies that keep you signed in to the client portal and keep checkout secure. The site cannot work without these, and they are not used for tracking.
  • Analytics and performance. These tell us which pages are read, which are ignored, where visitors come from, and where the site is slow or broken, so we can improve it.
  • Marketing and advertising. These help us understand which of our articles, listings, or advertisements actually bring people here, and whether that led to a purchase or enquiry. They may be set by third-party providers, who may also use them to show you our content elsewhere on the internet.

Analytics and marketing cookies are set by third-party providers acting on our behalf and are governed by their own privacy policies as well as this one. Some of these providers may retain the information they collect and use it for their own purposes; we do not control that, and we would encourage you to read their policies if that concerns you.

How to turn them off. Every major browser lets you block or delete cookies, and most offer a setting to reject third-party cookies entirely. Some browsers and extensions also send an automated opt-out signal, such as Global Privacy Control. Blocking analytics and marketing cookies will not stop you from using this site, buying anything, or signing in to the portal — only the strictly necessary cookies are required. You can also email us using the address in section 12 and ask us to exclude you.

3. Why we use it

  • To formulate your animal’s plan and provide the service you paid for.
  • To take payment, and to keep records of what was purchased.
  • To email you your plan, your eBook, your intake form, or your portal sign-in link.
  • To reply to you, and to follow up on your case.
  • To meet our tax, accounting, and legal obligations.
  • To measure how the site is performing — which pages are useful, where visitors come from, and what is broken or slow — so we can improve it.
  • To understand which of our marketing efforts actually reach people, and to reach a similar audience with our own content.

We do not sell your personal information for money, and we do not rent or trade it. We do not send marketing email unless you have asked us to. We never use your intake form, your uploaded veterinary records, or any detail about your animal’s health for marketing, and we never disclose them to advertising providers.

You should know that some privacy laws define “selling” or “sharing” broadly enough to include the use of third-party analytics and advertising cookies described in section 2, even where no money changes hands. If you would rather not be included, use the browser controls in section 2 or email us and we will exclude you.

4. Who else touches it

We use a small number of established providers to run the practice. They process information on our behalf, each under their own privacy policy:

  • Stripe — payment processing.
  • Supabase — the database and file storage behind the client portal, and the sign-in emails.
  • Resend — sends your eBook and your portal invitation.
  • Cal.com — consultation scheduling.
  • Vercel — hosting and server logs.
  • Sanity — stores our blog articles. It holds no customer information.
  • Analytics and marketing providers— measure how the site is used and how people find it, as described in section 2. These providers receive browsing information such as IP address, device type, and pages viewed. They do not receive your intake form, uploaded files, or any of your animal’s health information.

We may also disclose information if the law requires it, or where necessary to protect our rights or someone’s safety.

5. Your veterinarian’s details

The intake form asks for your veterinarian’s name, phone, and email. That is someone else’s information, and we treat it accordingly: we use it only to contact them about your animal’s case, and only where that is part of the service you asked for. Please only give us those details if you are comfortable with us using them that way.

6. How long we keep it

We keep client records — intake responses, uploaded files, and order history — for as long as you are a client and afterwards while they remain clinically useful, since past formulations and diagnostics inform future ones. We keep purchase records for as long as tax and accounting rules require. You can ask us to delete your information sooner; see below.

7. Security

The site is served over HTTPS. Portal data sits behind per-user access rules, so signed-in clients can reach only their own records, and payment card details are handled entirely by Stripe rather than by us. No system is perfectly secure, and we cannot guarantee absolute security, but we take the protection of veterinary records seriously and limit access to what we need.

8. Your choices

Whatever your location, you are welcome to ask us to:

  • Tell you what information we hold about you.
  • Correct anything that is wrong.
  • Delete your information, subject to records we must keep by law.
  • Send you a copy of what you have given us.
  • Opt out of the analytics and marketing technologies in section 2, without losing access to anything on the site.

Email kim@theholisticcanine.us and we will handle it personally — we are a small practice, so a real person reads your request. We may need to confirm your identity first. Please allow up to 30 days.

9. Children

This site is intended for adults. We do not knowingly collect information from children under 13. If you believe a child has given us information, contact us and we will remove it.

10. Links to other sites

Where we link out to other sites, their privacy practices are their own, and this policy does not cover them.

11. Changes

If we change this policy, we will update the date at the top of the page. If a change is significant, we will tell affected clients directly.
